Privacy notice
This notice explains how CoherentOrgs handles personal data when you visit this website, contact us or take part in our training, coaching and consultancy work. We collect information needed for those purposes, alongside the technical data required to deliver the website securely.
Who we are
Where we determine the purposes and means of processing, the controller is Coherentorgs S.R.L., Str. Ion Lahovari, Nr. 23B/2, Room 2, Sat Dumbrăveni, Com. Balotești, Județul Ilfov, 077016 Dumbrăveni, Romania. VAT registration number RO54128042. Trade Register number J2026013718004.
For any question about your data, or to exercise your rights, contact James Priest at connect@coherentorgs.com.
What we collect and why
When you contact us
When you use the contact form or email us, we receive your name, your email address, your message and anything else you choose to include. We use this only to reply to you and, if we go on to work together, to arrange and carry out that work.
Our legal bases are taking steps at your request before entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in answering enquiries about our work (Article 6(1)(f) GDPR). You do not have to give us this information, but we cannot reply without a way to reach you.
When you send the contact form, your message is emailed to us and is not saved in a website database. The form function does not log your name, email address or message; if sending fails, it logs only the type of error. AWS also generates technical information about function invocations, such as request IDs and processing times. The form function's logs are retained for 14 days.
During training, coaching and consultancy engagements
When we arrange or deliver work for clients, we may process professional and contact details, booking and attendance information, correspondence, materials or notes relevant to the work, feedback, and contractual and invoicing records. Where a CoherentOrgs training engagement uses a learning platform, this may also include enrolment details and course participation or progress information. This may concern clients, their representatives, workshop participants and people receiving coaching or consultancy support. We use this information to organise and deliver our services, communicate with those involved, administer the engagement and meet our legal obligations. Where a client organisation arranges an engagement, it may provide us with participants' names and professional contact details.
Depending on the circumstances, our legal bases are taking steps before or performing a contract with you (Article 6(1)(b) GDPR), our legitimate interests in coordinating business relationships and delivering agreed work (Article 6(1)(f) GDPR), and compliance with legal obligations such as accounting and tax requirements (Article 6(1)(c) GDPR). Where a client organisation controls the purposes of processing for a particular activity and we act on its instructions, that organisation's privacy information also applies. Where an engagement involves additional tools, participants or more sensitive information, we provide relevant information and arrange any further safeguards required for that work.
When you visit the website
To deliver pages to your browser, our hosting provider necessarily processes technical data such as your IP address, the page requested, the time and your browser type. This is used only to deliver the website and protect it against misuse, on the basis of our legitimate interest in running a secure website (Article 6(1)(f) GDPR). We have not enabled website access logs, and we do not use this data to identify you.
Cookies and tracking
This website does not use cookies, analytics, advertising or tracking of any kind. Fonts and images are served from this website, not from third parties. Links to LinkedIn take you to a separate website with its own privacy policy.
Who else handles your data
We use the following organisations for our website, shared digital systems and, where applicable, learning services:
- Amazon Web Services hosts the website and delivers contact-form messages. The website's origin storage and the form function run in AWS's Ireland region; pages may be served through its worldwide delivery network.
- Thrive-in Collaboration S.R.L. provides shared digital infrastructure and storage on our behalf, including the Amazon Web Services account that hosts this website and its contact form, access to the Google Workspace account, Google Drive and a learning-platform environment. Thrive does not administer CoherentOrgs client engagements or invoicing.
- Google provides the Google Workspace email and Drive services used within that shared environment for CoherentOrgs correspondence and files.
- LearnWorlds provides a learning platform through Thrive's environment. Where CoherentOrgs uses it for an engagement for which we determine the purposes of processing, it may process learner account, enrolment and course activity information. This does not include Thrive's separate historic learner records.
We may also work with facilitators or service providers involved in a particular training, coaching or consultancy engagement. Where their involvement entails additional processing of personal data, we explain the relevant arrangements in the context of that work.
We do not sell your data or share it with anyone for marketing.
Transfers outside the European Economic Area
AWS, Google and, where used, LearnWorlds operate internationally, and delivering the website, shared services or learning platform may involve processing outside the European Economic Area. Depending on the service and recipient, safeguards may include the European Commission's adequacy decision under the EU-US Data Privacy Framework for certified organisations or its standard contractual clauses for other transfers. Contact us for further information about safeguards relevant to your data.
How long we keep it
We keep enquiries while we are responding to them and any resulting work is ongoing. Afterwards, we retain relevant correspondence only while it is needed for follow-up, business records or a potential legal claim, and delete it when those reasons no longer apply. Records subject to statutory retention requirements, such as accounting records, may be kept for longer.
Your rights
You have the right to ask us for access to your personal data, to have it corrected or erased, to restrict how we use it, to object to our use of it based on legitimate interests, and, where applicable, to receive it in a portable format. Email connect@coherentorgs.com; we will respond within one month.
You also have the right to complain to a data protection supervisory authority. In Romania this is the National Supervisory Authority for Personal Data Processing (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28-30, Sector 1, Bucharest, www.dataprotection.ro. You may also complain to the authority in the EU country where you live or work.
We do not use your data for automated decision-making or profiling.
How we protect it
The website is served only over encrypted HTTPS connections. Website files are held in private, encrypted storage. Messages from the contact form travel to our mailbox over encrypted connections, and access to our systems is limited to the people who need it.
Changes to this notice
If we change how we handle personal data, we will update this page and the date at the top.
